Event staffing fails happen in two places: too late in the planning process, and on the day itself. This checklist is designed to prevent both. Use it for every event, in order.
30+ Days Out: Planning
[ ] Map your event timeline from load-in to venue restore. Every phase needs crew.
[ ] Identify roles by phase: setup, registration/check-in, food service, crowd management, janitorial, breakdown.
[ ] Estimate headcount using staffing ratios (see our guide: How Many Event Staff Per 100 Guests).
[ ] Identify which roles require special certifications (food handler permits, TIPS, licensed security).
[ ] Set your dress code for each role — specific enough that there's no ambiguity (e.g., "all-black slacks and collared shirt, no sneakers" not "business casual").
[ ] Determine your supervisor structure. Who does each crew report to on event day? Write it down.
14 Days Out: Booking
[ ] Submit your staffing request. Two weeks out is the sweet spot — early enough to get the best workers, late enough that your event details are finalized.
[ ] Confirm venue load-in access: door codes, service entrances, elevator access, parking for crew.
[ ] Confirm any on-site requirements: background checks, wristbands, contractor badges.
[ ] Share event brief with your staffing partner: venue layout, timeline, and any client-specific protocols.
5 Days Out: Confirmation
[ ] Receive confirmed roster from your staffing partner. Verify headcount by role.
[ ] Identify backup workers for your highest-risk roles (setup lead, registration lead).
[ ] Finalize meeting points for each crew — specific location within the venue, not just the venue address.
[ ] Confirm supervisor contact list. Every crew member should have a supervisor's name and cell number before they arrive.
24 Hours Out: Briefing
[ ] Confirm all workers have received their pre-shift briefing (meeting point, supervisor, dress code, pay rate, role).
[ ] Follow up individually with any worker who hasn't confirmed. Treat silence as a potential no-show.
[ ] Activate any backup workers who may be needed.
[ ] Brief your event-day supervisors. They should know the layout, timeline, and any problem scenarios to watch for.
Day Of: Execution
[ ] Station a supervisor at the crew meeting point 30 minutes before call time.
[ ] Do a headcount 15 minutes after call time. Identify gaps and activate backups immediately — don't wait.
[ ] Brief all crew on-site before they disperse: walkthrough of roles, contact points, and any last-minute updates.
[ ] Keep a running log of any staffing issues during the event for debrief and future planning.
Post-Event: Debrief
[ ] Document which workers performed well. This is your priority list for the next event.
[ ] Note any gaps, late arrivals, or no-shows — and share with your staffing partner.
[ ] Review actual hours against planned hours for budget reconciliation.
