How Many Event Staff Do You Need Per 100 Guests?
A practical breakdown of event staffing ratios by role and event type — so you stop guessing and start planning.

One of the most common questions event organizers ask is: how many staff do I actually need? The answer depends on the type of event, the roles you're filling, and how much can go wrong if you're understaffed. Here's how to think about it.
Setup and Breakdown Crew
For event setup and breakdown, staffing ratios depend on venue size and complexity, not guest count. As a rule of thumb: plan for 1 setup crew member per 1,000 square feet of event space, with a minimum of 3 crew for any event. For events with heavy furniture, pipe-and-drape, or A/V staging, add 20–30% to that estimate.
Breakdown is often underestimated. Clients frequently book a setup crew but forget that someone has to tear it all down. If your event ends at 10pm and the venue needs to be clear by midnight, you need a dedicated breakdown crew — not the same exhausted people who worked setup at 7am.
Registration and Check-In Staff
Industry standard for conference and corporate event check-in is 1 registration staff member per 50 guests, assuming a 30-minute arrival window. If your event has a hard start time and most guests arrive within 15 minutes, increase that to 1 per 30 guests to avoid a bottleneck at the door.
For large events (500+ guests), use a staggered check-in system and staff additional floaters who can redirect guests and handle exceptions. A long check-in line at the start of your event sets a bad tone for everything that follows.
Catering and Food Service Staff
For plated dinner service: 1 server per 10–12 guests. For buffet-style service: 1 server per 20–25 guests, plus dedicated runners to replenish food stations. For cocktail-style receptions with passed apps: 1 server per 25 guests.
Don't forget bussers. A common mistake is staffing servers but skipping bussers, resulting in a cluttered event floor within the first hour. Plan for 1 busser per 3–4 servers at any plated or buffet event.
Janitorial and Cleanup Crew
During-event janitorial needs vary by venue type. For outdoor festivals: 1 janitorial crew member per 200 attendees per 4-hour block. For indoor conferences: 1 per 300 attendees for active cleaning. Post-event cleanup requires a dedicated team — plan for 1 cleaner per 1,000 sq ft, minimum 2-hour window.
Crowd Management and Security Support
For general crowd flow positions (not licensed security): 1 staff member per 100 attendees for low-intensity events; 1 per 75 for high-traffic events with multiple entry points. Licensed security requirements are separate and governed by venue and local ordinance.
The Rule That Covers Everything Else
When in doubt, add one. The cost of an extra staff member for a 6-hour event is $120–$180. The cost of being one person short at a 300-guest gala is measured in organizer stress, guest complaints, and a catering team that has to cover tasks outside their scope. Over-staff by 10–15% when the stakes are high.
